When couples visit a wedding venue for the first time, it’s usually love at first sight. They notice the ocean views, beautiful gardens, architecture, or that perfect spot where they imagine exchanging vows.
And we completely understand. Finding a venue that feels right is one of the most exciting moments of wedding planning.
But as wedding planners, we tend to look at things a little differently.
Beyond the beautiful setting, we’re already imagining the entire wedding day. Where will guests arrive? How will the ceremony transition into cocktail hour? Where will the catering team work? What happens if we need additional coverage? And how will everything flow once the celebration begins?
There are so many details that aren’t necessarily visible during a venue tour, but they can make a significant difference in how smoothly a wedding unfolds.
Here are some of the things we always pay attention to when visiting a potential wedding venue in Costa Rica.
1. The Flow Between Spaces
One of the first things we look at is how the different areas of the property connect.
A venue might have a beautiful ceremony location, a lovely cocktail area, and an incredible reception space, but how do guests move from one to the next?
Are the spaces close enough to create a natural transition? Will guests need to walk up stairs, cross a garden, or take a shuttle? Is there enough room for everyone to move comfortably?
We always think about the experience from the guests’ perspective. Ideally, the transitions should feel effortless, allowing everyone to enjoy each part of the celebration without unnecessary waiting or confusion.

2. Having the Right Plan for the Weather
When planning an outdoor wedding in Costa Rica, understanding the local weather patterns is an important part of choosing the right venue.
Costa Rica has different microclimates, and weather conditions can vary quite a bit depending on the region and time of year. In some destinations, the dry season offers very consistent sunshine, while other months may require a little more preparation.
When visiting a venue, we always consider what options are available to protect the celebration from the elements.
Is there a covered area that can accommodate the reception? Is there enough space for a tent if needed? Can umbrellas be incorporated into the setup? Are there sheltered areas where guests can comfortably enjoy cocktail hour?
Depending on the destination and wedding date, we may recommend having a tent, umbrellas, or a covered alternative planned in advance rather than waiting until the last minute.
The goal isn’t to compromise on an outdoor celebration, but to make sure the beautiful setting can be enjoyed comfortably, whatever the conditions.
A well-thought-out weather plan should feel like a natural part of the wedding design, not an emergency solution.

3. The Lighting at Different Times of Day
A venue can look completely different depending on the time of day.
When visiting a property, we pay attention to where the sun sets, how much natural light reaches the ceremony area, and what the atmosphere will look like once the sun goes down.
For example, a ceremony location with beautiful afternoon light might be too exposed during the hottest part of the day. A reception area that looks lovely during a daytime tour might need additional lighting to create the right atmosphere in the evening.
We also consider the lighting for photography. The direction of the sun, surrounding trees, and available shade can all influence how the wedding photographs turn out.
These are small details, but they matter.

4. The Sound and Acoustics
Something couples don’t always think about is how sound travels throughout a property.
Can guests comfortably hear the ceremony? Is the reception area close to guest rooms? Are there restrictions on music volume or the hours when entertainment can continue?
Some venues have sound limitations, particularly when they are located near residential areas, within nature reserves, or inside hotels with other guests staying on the property.
We always recommend understanding these restrictions before booking, especially if having a lively reception and dancing late into the evening is important to you.

5. The Catering and Service Logistics
The food is an important part of any wedding celebration, but there’s a lot happening behind the scenes to make the dining experience feel seamless.
We look at where the catering team will prepare and plate the food, how far the kitchen is from the reception area, and whether there is enough space for service staff to work comfortably.
If a venue has a beautiful outdoor reception location but limited catering facilities nearby, additional planning may be required.
We also consider access for rental companies, florists, and other vendors who need to bring equipment onto the property.
A beautiful dinner service requires much more than a lovely tablescape.

6. Guest Accessibility and Comfort
We always try to imagine the venue through the eyes of every guest attending the celebration.
Are there stairs or steep paths? Is the ceremony location easily accessible for older family members? Are there enough bathrooms nearby? Is there adequate shade during cocktail hour?
In Costa Rica, many properties are built into hillsides or surrounded by tropical landscapes, so these considerations can be particularly important.
A venue might be spectacular, but we want to make sure guests can comfortably enjoy the entire experience.

7. The Guest Accommodation Situation
When planning a destination wedding, the venue is often part of a much bigger travel experience.
We look at the number of rooms available, the different accommodation categories, and whether guests can stay close to one another.
If the wedding is taking place at a private villa or boutique property, we also consider where the remaining guests will stay and how they will get to the celebration.
Having everyone together can create a wonderful atmosphere, but accommodation and transportation logistics should be considered early in the planning process.

8. The Space Behind the Beautiful Spaces
This is something couples rarely notice during a venue tour, but it’s something we always look for.
Where will the wedding vendors set up? Is there a designated area for rental deliveries? Where can the band or DJ store equipment? Is there a private space for the couple to get ready? Where can personal belongings and additional supplies be kept?
These behind-the-scenes spaces are essential for keeping the wedding day organized.
The goal is to make sure everything happening behind the scenes stays behind the scenes, allowing guests to enjoy the beautiful spaces without seeing all the logistics involved in creating them.
9. The Little Restrictions That Can Change Everything
Before falling completely in love with a venue, we always want to understand its policies.
Some properties have restrictions regarding outside vendors, floral installations, candles, hanging decorations, music, event hours, or the use of certain areas.
Others may require specific rental companies, additional security, or exclusive catering arrangements.
None of these things necessarily make a venue unsuitable, but knowing them early helps us understand what is possible and avoid surprises later.

10. The Overall Feeling of the Place
And finally, there’s something that goes beyond logistics.
We pay attention to how a venue feels.
Does it offer privacy? Does it have a natural connection to its surroundings? Does the atmosphere match the couple’s personality? Can we imagine their guests spending an entire weekend there and genuinely enjoying every moment?
Sometimes a venue has all the right facilities but doesn’t quite have the atmosphere a couple is looking for. Other times, a property might be a little unexpected but offer exactly the kind of experience that makes a wedding memorable.
We believe the right venue should feel like an extension of the couple, not simply a beautiful backdrop.
Looking Beyond the First Impression
Choosing a wedding venue is about so much more than finding a beautiful location.
It’s about understanding how the space works, how guests will experience it, what possibilities it offers, and what needs to happen behind the scenes to bring the celebration together.
At Mil Besos, these are the details we consider long before the wedding day arrives. Our job is not only to find beautiful places, but to understand how to make them work beautifully for each couple.
Because when everything has been thoughtfully considered, the wedding day feels effortless. And that’s exactly how it should feel.
